How to compress a PDF for job application portals
ATS portals like Workday and Taleo often cap resume uploads at 2MB, 1MB or even 500KB. How to get under the limit without wrecking your resume — processed locally, never uploaded.
Why your resume PDF is over the limit
A resume exported from Word or Google Docs is usually tiny. It blows past 1MB when it contains a photo, a scanned signature, logos, or was itself scanned from paper. Portfolio PDFs with work samples are the other common offender.
Application portals cap uploads aggressively — 2MB is common, 1MB and 500KB appear on government and older ATS systems — and a rejected upload at the deadline is the worst time to discover it.
Keep it machine-readable
ATS systems parse your resume text. That means one rule above all: never compress a resume by converting it to images — the text layer disappears and the ATS reads nothing. Proper PDF compression re-encodes only the embedded images and leaves the text layer intact and selectable.
If your resume is a paper scan, run OCR first so it has a text layer at all, then compress.

Check the portal’s limit
Look for the stated cap (commonly 2MB, 1MB or 500KB) and target slightly below it.

Open the result and try selecting your name — if it selects, ATS systems can read it.

FAQ
Will compression break ATS parsing?
No — proper compression re-encodes images only and keeps the text layer selectable. Avoid any tool that converts pages to images.
The portal wants 500KB and my resume is a scan. What now?
Run OCR first to add a text layer, then compress to target size. If it still cannot reach 500KB readably, the tool tells you the honest floor before you run it.
Is my resume uploaded during compression?
